Some guidelines for going about process improvement for student services

1. Provide for an intra-institutional team
2. Clearly define goals and desired outcomes
3. Determine if applications need to be customized by department or function; make accommodations for that in the design
4. Process focus:scenarios

The Scenario Building Process

Detail actions and interactions
Use Universal Modeling Language (UML) for illustrating function and relationships

Identify actors and reactors
Define and branch for every decision point

This enables the critical communication with the IT people who will build and activate these new systems

Role of Consultants

We used them for Datatel applications and for ADA compliance issues. Consultants bring:

depth of expertise in critical areas
insight from new perspectives
growth of internal capacity

Identify Enablers

LAAP Team members wrote the specific scripts for their areas
Datatel consultant helped systems to respond as needed
ITS provided support to host and activate on current system

What We Learned

Scenario-building, while difficult to learn and apply, is key.
UML is a language with which we can talk to ITS and they can understand us.
ADA compliance enhances the quality of all applications when it is incorporated systemically
